Job Summary: The Receptionist is the first point of contact for visitors and clients, responsible for managing front-desk operations, providing excellent customer service, and supporting administrative functions. This role requires a professional demeanor, strong communication skills, and the ability to handle various tasks efficiently.

Key Responsibilities:

  • Greet and welcome visitors, clients, and employees in a courteous and professional manner.
  • Answer and direct phone calls to appropriate departments or individuals.
  • Manage the front desk, including handling mail, packages, and deliveries.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Maintain and update office records and files, including contact information and visitor logs.
  • Provide general administrative support, such as data entry, document preparation, and office supplies management.
  • Address and resolve inquiries or issues from visitors and staff promptly and effectively.
  • Ensure the reception area is clean, organized, and presentable at all times.
  • Assist with other tasks and projects as needed by management.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as a receptionist or in a similar role.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment (phones, copiers, etc.).
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and work effectively in a fast-paced environment.
  • Professional appearance and demeanor.

Working Conditions:

  • Full-time position, with typical office hours.
  • May require occasional overtime or flexibility in schedule.
  • Office environment with minimal physical demands.

  • Office Manager or Administrative Supervisor.
