Responsibilities:
- Front Desk Operations:
- Greet visitors, clients, and employees with a warm and welcoming demeanor.
- Answer and direct incoming phone calls in a courteous and professional manner.
- Respond to inquiries and provide accurate information about the company, its services, and products.
- Maintain a neat and organized reception area.
- Appointment Scheduling:
- Manage appointment calendars for executives and staff.
- Schedule and confirm appointments, meetings, and conference rooms.
- Notify employees of visitor arrivals promptly.
- Administrative Support:
- Assist with general administrative tasks, including filing, photocopying, and data entry.
- Handle incoming and outgoing mail and packages.
- Coordinate and maintain office supplies inventory.
- Communication:
- Act as a liaison between visitors and employees, conveying messages effectively.
- Communicate with various departments to ensure smooth office operations.
- Security:
- Monitor and manage access to the building, ensuring security protocols are followed.
- Issue visitor badges and maintain visitor logs.
- Handling Inquiries and Complaints:
- Listen to and address customer inquiries and complaints promptly and professionally.
- Report complaints or serious inquiries to the appropriate department or management.
- Miscellaneous Duties:
- Assist with special projects or events, as required.
- Adhere to company policies and procedures at all times.
Requirements:
- High school diploma or equivalent; additional qualifications in administration or related fields are a plus.
- Proven experience as a receptionist or in a customer-facing role is preferred.
- Excellent verbal and written communication skills.
- Professional appearance and demeanor.
- Proficient in using office software (e.g., Microsoft Office Suite).
- Ability to multitask and prioritize tasks effectively.
- Strong organizational and time-management skills.
- Attention to detail and accuracy.
- Ability to work independently as well as part of a team.
- Problem-solving skills and a proactive approach to challenges.
- Punctuality and reliability are essential.
