Responsibilities:

  1. Front Desk Operations:
    • Greet visitors, clients, and employees with a warm and welcoming demeanor.
    • Answer and direct incoming phone calls in a courteous and professional manner.
    • Respond to inquiries and provide accurate information about the company, its services, and products.
    • Maintain a neat and organized reception area.
  2. Appointment Scheduling:
    • Manage appointment calendars for executives and staff.
    • Schedule and confirm appointments, meetings, and conference rooms.
    • Notify employees of visitor arrivals promptly.
  3. Administrative Support:
    • Assist with general administrative tasks, including filing, photocopying, and data entry.
    • Handle incoming and outgoing mail and packages.
    • Coordinate and maintain office supplies inventory.
  4. Communication:
    • Act as a liaison between visitors and employees, conveying messages effectively.
    • Communicate with various departments to ensure smooth office operations.
  5. Security:
    • Monitor and manage access to the building, ensuring security protocols are followed.
    • Issue visitor badges and maintain visitor logs.
  6. Handling Inquiries and Complaints:
    • Listen to and address customer inquiries and complaints promptly and professionally.
    • Report complaints or serious inquiries to the appropriate department or management.
  7. Miscellaneous Duties:
    • Assist with special projects or events, as required.
    • Adhere to company policies and procedures at all times.

Requirements:

  • High school diploma or equivalent; additional qualifications in administration or related fields are a plus.
  • Proven experience as a receptionist or in a customer-facing role is preferred.
  • Excellent verbal and written communication skills.
  • Professional appearance and demeanor.
  • Proficient in using office software (e.g., Microsoft Office Suite).
  • Ability to multitask and prioritize tasks effectively.
  • Strong organizational and time-management skills.
  • Attention to detail and accuracy.
  • Ability to work independently as well as part of a team.
  • Problem-solving skills and a proactive approach to challenges.
  • Punctuality and reliability are essential.
